Accounts Assistant

Job Description

The purpose of the role is to reconcile sales information and purchases across every aspect of the business. You must make sure that all responsibilities and duties are carried out accurately and within set time limits. The job holder is responsible for the Sales and Purchase ledger, ensuring that information is entered on to the company systems in a timely manner, accurately and with appropriate detail.

Key Responsibilities:

  • Sales ledger ‐ ensure invoices are raised / posted accurately and in a timely manner.
  • Updating spreadsheets and journals for daily takings – including Digitickets, Office and Escape Rooms.
  • Inputting all purchase invoices, credit card purchases and cash purchases on to Key Prime Accounts.
  • Purchase ledger ‐ obtain authorisation from the appropriate person for all purchase invoices that have not otherwise been approved by the finance team.
  • Where any discrepancies or issues arise with sales and purchase invoices, raise this with the Finance team in order that a timely resolution can be identified.
  • Nominal ledger ‐ ensure all invoices due are posted correctly for processing payment run prepared by the Management Accountant.
  • Reconciliation of the credit card accounts.
  • Regularly review debtors for the company and liaise with the Escape Room and Venue Managers to ensure credit control procedures are implemented.
  • Filing invoices and receipts to the correct location.
  • Collect and check expenses and receipts to ensure they’re accurately recorded, and the supporting documentation is adequate i.e. VAT invoice where applicable.  Ensure that expenses comply with HMRC legislation and raise any queries with the Finance team in a timely manner.
  • Open post each day and distribute to appropriate staff members.
  • Any other duties as required to maintain a safe, clean and happy office environment.  
  • Monitor the ‘Accounts’ and ‘Grow Through Play’ inboxes, dealing with any queries.
  • Assist the Management Accountant and Business & Finance Team with any other duties as required.

Key Skills:

  • Bookkeeping Experience Essential.
  • Good oral and written communication skills
  • Ability to work to a high level of accuracy with particular attention to detail.
  • Ability to multitask with various activities and adapt schedules to suit a busy event-based company.
  • Enthusiastic, efficient, well-motivated and a positive attitude
  • Ability to organise, prioritise tasks and to work as part of a small team.
  • Able to converse at all levels. Will need to have strong interpersonal and relationship building skills. A flexible, pro-active and organised outlook
  • Should be self-managed, obtaining guidance when required with the ability to be able to think outside of the box.
  • Experience using Accounting Software Preferred.
  • Able to travel into the office, this job is not suitable for working from home.
